Publication area for approved organizational policy content.
Effective date: 15 September 2026
Last updated: 24 October 2026
1. Overview
This policy governs how EverDrive retains and deletes customer data in accordance with our commitment to data privacy, security, and regulatory compliance.
2. Retention Framework
- Default Retention: Archived content is retained indefinitely unless a specific retention policy is configured
- Configured Policies: Tenants may configure retention schedules based on content classification, date ranges, or custom criteria
- Legal Holds: When a legal hold is placed, retention is extended regardless of configured policies
- Regulatory Requirements: Retention periods may be extended to comply with applicable laws and regulations
3. Deletion Process
- Automated Deletion: Content is permanently removed when retention expires and no holds apply
- Manual Deletion: Users may delete content through Free Space or item deletion
- Account Deletion: Requires explicit confirmation, reauthentication, and processes all associated data
4. Data Not Deleted by Account Closure
Account deletion does NOT delete data stored with external providers (Google, Microsoft, GitHub). You must separately manage deletion through their interfaces.
5. Export Before Deletion
Before account deletion, users are strongly advised to export all archived content and verify the export package.
6. Legal Holds
Content under legal hold is protected from deletion regardless of retention policy. Hold placement and release are audited.
7. Audit and Compliance
All retention and deletion events are logged. Audit logs are retained for a minimum of 7 years.
